Responsibilities:

  • Maintain all hard copy and digital records for ongoing projects
  • Assist in creating and distributing meeting recaps.
  • Deliver and pick up business related correspondence in the immediate geographic area
  • Handel repairs files
  • Work with executive administrative team to create spreadsheets and presentation information for trade shows
  • Answer phone calls and redirect them when necessary
  • Manage the daily/weekly/monthly agenda and arrange new meetings and appointments with customers
  • Follow up on shipments in and out of the country
  • Prepare and disseminate correspondence, memos and forms
  • File and update contact information of customers in Fantasy, internal operating system,suppliers and external partners
  • Support and facilitate the completion of regular reports
  • Develop and maintain a filing system
  • Check frequently the levels of office supplies and place appropriate orders
  • Make travel arrangements
  • Document expenses and hand in reports
  • Undertake occasional receptionist duties
  • Pay bills and keep track of payments

Requirements:

  • Experience working in an operations and luxury retail environment for minimum 3 years
  • Proficient in MS Windows (word, outlook, PowerPoint, excel), excel in particular.
  • Adobe use is a bonus
  • Customer service experience required
  • Outstanding communication skills
  • Superior customer service skills
  • A passionate and enthusiastic personality
